Office Management

Guidelines for Office Management

The office manager holds a key to the NYC Metro RID office. This key should not be duplicated or lent to others without express approval of the President of the organization.

Mail
It is the office manager's job to manage correspondence to and from the NYC Metro RID office.
Mail should be checked at least twice monthly, preferably on the 15th and the last day of the month.
Mail should be sorted, opened when appropriate, and forwarded to the intended addressee.
Mail should be forwarded to the addressee in a timely manner. Mail retrieved should be received by the intended recipient within seven days.

Phone Messages
Messages left on the answering machine should be written down and passed on to the appropriate member. Phone messages should be retrieved weekly.
The office manager should respond personally to only those messages asking for basic information, such as the address of The Lighthouse, or requests for membership forms.

Files and Property
The office manager is responsible for ensuring all files be well maintained, and NYC Metro RID records and property are kept in the appropriate places.

Communication with the Board
The office manager should check in with the board liaison periodically to ensure effective communication with the Board.
Any question regarding procedure should be directed to the Board liaison or the President.
